The Travel Office provides professional, courteous, and high-quality customer service to the Campus community while following New York State and Research Foundation mandated directives.
- Provide Excellent Customer Support for SUNY Upstate Departments and stakeholders.
- Improve communication with the campus community on travel procedures.
The purpose of the Travel Office is to define travel status, to help clarify rules and regulations and how to apply for reimbursement while traveling on official State and Research Foundation business. These rules are established in the best interest of the State, SUNY, Research Foundation and Suny Upstate Medical University. Only actual, necessary, and reasonable business expenses will be reimbursed. Failure to get pre-approval of travel prior to traveling, or adhering to the travel policy, may delay the process and may jeopardize the reimbursement of the requested travel expenses.

Beginning on May 7, 2025, the Federal Real ID Act will be enforced and travelers who choose to use a state-issued driver’s license as a source of identification for Transportation Security Administration (TSA) airport checkpoints will need to ensure they are compliant with Real ID. To better prepare your travelers for the Real ID Act and help them fully understand its requirements, please review the Federal Real ID Requirements.
State employees and employees traveling with state funds cannot add personal time to a work trip. You will be considered in travel status no more than 1 day prior to the start of your meeting/conference and no more than 1 day following your meeting/conference.
Official travel status is 35 miles from your official workstation.
